Communications Specialist

Job Summary:

  • The Communications Specialist supports the Penn Medicine Communications Department in the execution of internal and external communications strategies. This role assists in the development, production, and distribution of web-based and traditional publications, media outreach materials, and internal communications. In addition, the Communications Specialist will lead selected projects, collaborate on media relations efforts, and assist in the creation and management of content across multiple internal and external platforms. The role requires a strong understanding of communications best practices, excellent writing skills, and the ability to manage multiple projects simultaneously.

Responsibilities:

  • Event Support: Provide support for onsite events including video shoots, media escorts and live events for the communications department.
  • Multimedia Content Creation: Assist in the preparation and distribution of multimedia content such as photos, videos, and audio files for web and social media publication. Contribute to the development of visual and graphic content as needed.
  • Stakeholder Engagement: Serve as the primary contact for assigned clients to support media outreach, planning communication strategies, and ensuring effective coverage of relevant topics.
  • Content Development: Write, edit, and produce communication materials including but not limited to newsletters, internal memos, blog posts, leadership messages, video scripts, press releases, and digital content. Lead the development of select content for internal and external publications under the guidance of senior editors. 
  • Project Management: Lead the project management for assigned deliverables, ensuring timely delivery of content and alignment with overall communication strategies.
  • Media Outreach: Assist in media relations, including drafting press releases, media outreach materials, media pitches and coordinating interviews or press coverage.
  • Monitoring and Reporting: Support analytics reporting by assisting with the creation of channel monitoring reports and help maintain departmental archives.
  • Communication: Strong verbal and written communication skills, with the ability to develop and deliver multi-modal communications that convey a clear understanding of the unique needs of different audiences.
  • Collaboration: Works effectively with team members, stakeholders, and media contacts to achieve communication goals.
  • Project Management: Manages multiple priorities and ensures the successful execution of assigned projects.
  • Adaptability: Handles changing priorities, deadlines, and media inquiries with professionalism and flexibility.
  • Critical Thinking and Problem Solving: Intellectually curious, uses thought, knowledge, logic and methods to solve problems with effective solutions.
  • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
  • Other duties as assigned to support the unit, department, entity, and health system organization

    Education or Equivalent Experience:

    • Bachelor of Arts or Science (Required)
    • Education Specialization: Communications, public relations, journalism, or related field
    • 1+ year of experience in a communications role, preferably in healthcare, non-profit, or media environments (Required)
    • Demonstrated experience managing communication projects from concept to completion, including print and digital publications (Preferred)
    • Experience with digital communications tools, including social media platforms, content management systems, and email marketing platforms (Preferred)

    Skills & Abilities:

    • Strong writing, editing, and project management skills.
    • Ability to produce clear, compelling, and engaging content for various audiences and platforms.
    • Proficiency with Adobe Creative Suite, Microsoft Office, and analytics tools
    • Understanding of social media best practices and experience generating social media content.
    • Excellent organizational skills, with the ability to manage multiple projects and meet deadlines.
    • Knowledge of healthcare communications is preferred.
    • Ability to work both independently and collaboratively in a fast-paced environment.
    • Willingness to participate in an on-call rotation to manage media relations during emergencies.
