This position is responsible for a wide range of administrative services and tasks in support of the Marketing and Communications Department. This position requires flexibility, initiative, professionalism, creativity, and the ability to manage multiple projects simultaneously. Job responsibilities will include support for general marketing functions, creative services, and public relations. This position reports to the Senior Vice President of Marketing and Communications.

Requirements

MAJOR RESPONSIBILITIES:

  • Schedule meetings (in-person and virtual) and calendar invites, occasionally take notes during meetings 
  • Complete travel arrangements and corresponding notations on calendars
  • Process invoices and/or agreements for printing, marketing services, public relations services, etc., enter into contract management system 
  • Assist with filing of vendor estimates PR items, and other documents 
  • Assist with submission of travel receipts and completion of expense reports
  • Distribute individual copies of patient guidelines to webinar attendees
  • Assist with registration and packing/shipping of materials for conferences and exhibits, both U.S. and International 
  • Route press releases and other PR materials for review and collect comments
  • Assemble press kits and other occasional handouts 
  • Help with updates to Corporate slide decks, written identity documents, and other internal communications collateral 
  • Assist with file organization of images, track usage, and other creative service tasks 
  • Sort and assist with storage of video files and/or photography
  • Occasionally assist with proofreading and edit checking
  • Assist with tracking of marketing budgets, enter costs
  • Send monthly and quarterly targeted emails, update contact lists when needed
  • Assist with marketing materials inventory and storage closet

EDUCATION/RELATED EXPERIENCE:

  • Bachelor’s degree or equivalent work experience 
  • Proficient in Windows systems and Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • 3+ years administrative experience supporting senior leadership in a health professional or other non-profit organization with increasing responsibility
  • Previous experience as an Administrative Assistant or in a similar position supporting marketing and communications a plus

  • Excellent verbal and written communication skills and ability to interact effectively with internal and external staff, managers, and the general public
