We are seeking a highly organized and motivated Marketing Administrative Assistant to support our VP of Marketing in a dynamic and fast-paced environment.
The Marketing Administrative Assistant provides essential administrative and project support to the VP of Marketing and the broader marketing department.
This role ensures smooth daily operations by managing schedules, coordinating meetings, preparing reports, tracking budgets and expenses, and assisting with the execution of marketing initiatives.
The ideal candidate is highly organized, detail‑oriented, proactive, and able to communicate effectively in a fast‑paced, collaborative environment. This position offers the opportunity to work closely with senior leadership and gain exposure to a wide range of marketing activities, including content development, reporting, and campaign coordination.
Manage calendars, schedule meetings, and coordinate departmental communications.
Prepare PowerPoint presentations, reports, and other materials for internal and external use.
Handle incoming inquiries for the department and route information appropriately.
Maintain confidentiality when handling sensitive information.
Assist in the development, proofing, and distribution of marketing materials, catalogs, and presentations.
Support the execution of marketing initiatives by coordinating tasks, timelines, and documentation.
Manage mailings, magazine subscriptions, and distribution lists.
Oversee tour headset inventory and usage.
Track marketing budgets, expenses, and billing activity.
Create and monitor purchase orders; process and file invoices.
Prepare marketing reports related to billing and spending.
Coordinate with internal teams and external partners as needed.
Serve as backup for guesthouse scheduling and company catering arrangements.
Operate standard office equipment including calculators, printers, copiers, and fax machines.
Perform additional duties as assigned to support departmental needs.

Knowledge of marketing functions and terminology preferred.
