JOB SUMMARY:
A very visible and customer oriented position handling all telephone calls and serving as an information resource for prospective residents for Homewood. Provides clerical support for marketing staff.
ESSENTIAL FUNCTIONS:
- Treats all information about residents, their condition, and family as well as personnel matters as confidential information.
- Complies with established Corporate and Departmental policies and procedures, and maintains established standards and practices.
- Greets guests and creates a hospitality center atmosphere in the marketing office.
- Screens incoming telephone calls, provides appropriate marketing information and directs inquiries from prospective residents in a positive professional manner. Obtains required marketing information from every inquiry.
- Processes incoming and outgoing mail. Assists with direct mail projects.
- Organizes and maintains marketing files including applicant and competitor information.
- Responsible for processing fees collected and producing financial and statistical reports on a regular basis.
- Assists with arranging and participates in marketing events as needed.
- Types memos, correspondences, and other documents as requested by staff.
- Keeps inventory of office supplies.
- Enters information on computer accurately and completely including the marketing database.
- Assists in providing tours for prospective residents for special functions and as requested.
- Performs other functions as directed by the marketing staff.
QUALIFICATIONS:
- Requires tact, finesse, and a gracious spirit in meeting requests and/or complaints in a manner reflective of Homewood’s customer service philosophy.
- Keyboard speed of 40 wpm; ability to fully use computer, word processing, graphics and database software.
- Ability to read, write and understand English well.
- Has compassion, understanding and empathy for older persons and has ability to communicate well with prospective residents.
- Ability to understand and follow oral and written instructions.
- Ability to respond in a cheerful, pleasant, and professional manner to the public and enjoys working with the public.
- Ability to adjust priorities and manage multiple tasks.
PHYSICAL REQUIREMENTS:
Working conditions are normal for an office environment. Work requires extensive work using a computer. This position has physical and mental aspects of sedentary work in which lifting requirements are minimal. Occasionally required to walk; use hands to finger, handle, or operate computers, objects, tools, or controls; and reach with hands and arms. Specific vision abilities required by this job include close vision and the ability to adjust focus.
